Work through these checks in order. Most email problems are fixed by step 3.

  1. Is there an outage? Check service status.
  2. Is the account paid and the domain active? An overdue invoice or an expired domain stops email. Check Billing > My Invoices and Domains > My Domains in portal.ozhosting.com. For .au domains, also check for eligibility emails.
  3. Can you log in to webmail? If webmail works, the mailbox is fine and the problem is your email app's settings or password.
  4. Wrong password? Microsoft 365 users can reset it themselves if their admin has set that up; otherwise your Microsoft 365 admin resets it (see Microsoft 365). For Zimbra, raise a ticket and we'll reset it.
  5. Mailbox full? Delete or archive large emails and empty the Deleted Items folder.
  6. Not receiving from anyone? Your domain's MX records may point to the wrong place, often after a nameserver change. Correct records:
    • Zimbra: see Zimbra DNS records
    • Microsoft 365: the MX record shown in the Microsoft 365 admin centre under Settings > Domains
  7. Your emails land in other people's junk folders? Check your SPF record includes your mail provider (for Zimbra: include:zimbra.ozhosting.com), and that you have only one SPF record.

Still not working? Raise a ticket with the email address affected, the exact error or bounce message, and whether it's sending, receiving or both.
